Three Questions to Ask a Prospective Payroll Company

So, you’re thinking about switching payroll companies. This can be a daunting task if you’re working with the wrong partner, and an easy switch if you’re working with the right one! To help you make the best decision, here are three important questions that it might be wise to ask your prospective payroll vendor before making the decision to change.

At Paytime, we’ve been a PA payroll company for almost 20 years, so we know what it takes to make the transition as smooth as possible. Read on to learn more about what to ask, and contact us today with questions!

  1. Who Will Be My Account Manager?
This is a big one. Often, the bigger payroll providers don’t give you a dedicated account manager and this can create confusion when you have a question, a change or an issue. Sometimes, it’s the luck of the draw. Your call is answered by a call center, and the person you end up speaking with may or may not be familiar with you and your business. So, always ask to speak with your account manager before making the change. You’ll get a good feel for your new provider by meeting this key contact in advance and gauging their level of responsiveness and expertise before choosing to work with them!
  2. How Do You Manage the Transition?
The more services you utilize with your existing payroll company, the more complicated the switch. So be sure to look for a new payroll company that has a plan, and even a dedicated team, for implementation. Whether you’ve got simple bi-weekly payroll, or you’re working out of a complete HCM software system, there can be data migration, tax reconciliations, and other requirements to make sure you hit the ground running with your new provider. A dedicated implementation team is a good sign! That means your new payroll service has experts in place who are experienced at helping companies change services. This will ensure a smooth transition and an accurate starting point after the switch.
  3. What Happens if There’s a Problem?
It’s critical to find out what happens if there’s a problem. It could be a simple bank error, or a more complex tax issue, or something else, but when there’s a problem it’s important to know what happens next. If your prospective payroll company has experts on staff, who work in the same office, who can meet in person to conference call you, and who are available at a moments notice to work through any issues, that’s a plus. Try to avoid a payroll company that’s too small to have experts on staff, and who might just point you to an outside resource for help. Also, stay away from payroll services that are so big that their team members don’t know who to go to for help. The best payroll providers have the right team in place, and the right kind of teamwork in place, to help solve any issue quickly and efficiently.
